• About RRflows
• Who is RRflows and where are you based?

  RRflows is a business systems consultancy based in Tallahassee, Florida, working with companies across the US. We're consultants and builders, not a SaaS: you don't subscribe to a product, you hire us to design and build systems shaped to your business, CRMs, dashboards, internal tools, and the automations that connect them. The people you talk to on the first call are the people who design and build your system.

• What kinds of businesses do you work with?

  Growing companies that already have the work but not the system: businesses that have outgrown spreadsheets and disconnected apps, or that are paying for platforms that only half fit. We take on a small number of new engagements per quarter so every build gets full attention. If your operations have a repetitive, manual, or disconnected layer, that's usually where we start.

• Why build custom instead of buying Salesforce or GoHighLevel?

  Off-the-shelf platforms sell one system to everyone, then leave you to bend your business around it. That works until it doesn't: unused seats you keep paying for, workarounds your team quietly maintains, five tools that don't talk to each other. We do the opposite. We learn how your company actually operates, build a system shaped to exactly that, and keep building as your needs grow. You get the features you need, nothing you don't, and no per-seat fees forever.

• Pricing & engagement
• How do you price projects?

  Value-based, fixed fee per project. We never quote hourly. After discovery we estimate the annual value the system creates (hours saved, errors eliminated, revenue unlocked) and price the build at roughly one-tenth of that. You see the math before you sign the SOW. If a project doesn't generate at least 10x its fee in year one, it shouldn't get built. We'll tell you.

• What ongoing costs should I expect after the system ships?

  Three buckets, all transparent and all estimated in writing before you sign. Hosting: your system runs on its own private server (VPS), a small monthly infrastructure cost that keeps everything fast, secure, and yours. API usage: if your system uses AI, the providers bill at metered rates. We build in tracking and hard spending caps so costs stay visible and under control. Management: a monthly retainer that covers us watching the system, handling changes, and building what's next as you grow. That's it. No seat fees, no license fees, no per-user pricing. The system is yours, and the costs of running it are the real costs, not a markup model.

• Process & timeline
• How long does a typical project take?

  It depends on scope, but four weeks is typical for a single system, kickoff to live. Smaller builds like a contact-form router or a scheduled outreach sequence often close in two. Larger systems, a CRM with reporting and automations behind it, run six to ten weeks because there are several moving pieces. Our SOW always includes a milestone schedule, not just a finish date.

• What does a project actually look like, week by week?

  Six phases. Discovery: we learn how your business actually operates and where the pain is. Design: we write the plan and you approve it before anything gets built. Build: we build in our own environment, away from your live operations. Test: everything is validated end to end before you ever rely on it. Launch: the system goes live on your infrastructure with a full walkthrough for your team. Grow: we stay available to manage, extend, and build what's next. You see the plan, the milestones, and the progress the whole way. Nothing is opaque.

• Data, security & credentials
• How secure is the system you build for me?

  Security is part of the design, not an add-on. Your system runs on its own private server, isolated from everyone else: no shared platform, no pooled database. Credentials are encrypted, access is limited to the people who need it, and we never train AI on your business data. If your industry has specific security or compliance requirements, we build to them from day one.

• How do you handle API keys and credentials?

  Carefully, and never in plain sight. Every credential lives in an encrypted store, never hardcoded anywhere, and every key we hold for you is cataloged in a secure vault you co-own. Keys rotate on a regular schedule, and every rotation ends with a health check before we sign off. If you ever want to see exactly what we hold, it's one request away.

• AI accuracy & cost predictability
• How do you stop the AI from hallucinating or making things up?

  By never letting it answer from thin air. Assistants we build answer only from your own documents and cite their sources. If the answer isn't in your data, they say so instead of guessing. For decisions like lead scoring or routing, the AI works inside strict rules with a confidence bar, and anything uncertain goes to a human instead of being acted on automatically. We test the edge cases before launch and keep monitoring after.

• Will my AI bill be unpredictable?

  No. Every system that uses AI is built with cost tracking and hard spending caps from day one. You always see what's being spent and on what, and if anything ever approaches the limit you set, the system stops itself and alerts you before a bill can grow. Predictable by design.

• Post-launch & support
• What happens after my system goes live?

  The system starts working, and the safety net turns on with it. Monitoring is built in: if anything fails, an alert fires immediately, usually before you'd notice. Nightly backups keep your entire build history recoverable, and cost tracking keeps reporting. From there, we stay on: our monthly retainer covers watching the system, tuning it, and building what's next as you grow. You get the documentation either way, so nothing about your own system is ever a black box.

• Can I maintain the system myself, or am I locked in?

  You own everything: the system, the server, the credentials, the documentation. Everything we build is open and documented, so a technical person on your staff can maintain it safely. Ongoing management, changes, and new builds run under our monthly retainer. And if you ever decide to part ways, nothing is held hostage: your data, credentials, and documentation are yours, and everything is built to migrate cleanly. There's no proprietary platform to be locked into. That's the point of building custom.
