Privacy Policy

This is the privacy policy for rrflows.com, the website of RRFlows LLC. We wrote it in plain English because we'd rather be understood than impressive.

Who we are

RRFlows LLC is a Florida-registered business systems consultancy based in Tallahassee, FL. We design and build custom business systems (CRMs, internal tools, and management information systems) for small and mid-sized businesses. Reach us at help@rrflows.com.

What we collect

If you submit the contact form on this site, we collect the information you typed into it: your name, email address, company, role, website, whether you're the decision-maker, what you want built and why now, your revenue range, timeline, optional budget range, and how you heard about us. That's it.

We also receive standard server logs whenever any visitor loads a page: IP address, user agent string, the URL you requested, and a timestamp. Same as every web server on the internet.

We use Google Analytics 4 to understand how visitors find and use the site, loaded via Google Tag Manager. This sets first-party cookies (typically named _ga and _ga_*) used to count unique visitors and measure session duration. We may also add advertising pixels (Meta, Google Ads, LinkedIn, or similar) so we can measure which ads send qualified visitors and retarget people who showed interest. We'll keep this section updated as the list changes.

How we use it

The information you submit goes into our internal lead system so our team can read it and reply within one business day. Submissions may be scored automatically to help us prioritize responses (so urgent or well-scoped projects hear back faster), but every reply is written by a human.

We don't resell, share, or rent your information to third parties. We don't profile you beyond your single inquiry. We don't add you to any drip sequences or marketing lists without explicit permission.

Where it lives

Form submissions are processed and stored on systems we operate, hosted with established cloud providers in US data centers. Your submission is stored securely, our team is notified internally, and you receive an automated confirmation email from help@rrflows.com.

Where AI is involved in processing a submission, the providers we use are configured so your data is not used to train their models.

Third parties involved

We use standard, established business tools to operate. None of them receive your information beyond what's necessary to do their job:

• Business productivity and email providers — store submissions and send reply emails.
• Google (Analytics 4, Tag Manager) — measures site traffic and manages the tags above.
• AI providers — may process the project description portion of your submission for prioritization. Configured so your data is not used for model training.
• Cloud hosting and content delivery providers — host this website and the systems that process submissions.

If we add an advertising pixel (Meta, Google Ads, LinkedIn, or similar), that vendor will also be listed here. We don't sell your data, share it with data brokers, or use it for any purpose beyond responding to your inquiry and measuring our site's performance.

How long we keep it

We keep your submission for as long as we're in active conversation with you, plus a reasonable archive period after we've finished or declined working together (typically 12 to 24 months). After that, we delete it. If you want it deleted sooner, just ask.

Your rights

You can request any of the following at any time by emailing help@rrflows.com:

• A copy of the data we have on you
• Correction of anything inaccurate
• Deletion of your record from our systems
• Confirmation we haven't shared your data anywhere we shouldn't have

We aim to respond within five business days.

Security

Credentials live in encrypted stores and are rotated on a regular cadence. The contact form has rate limiting and abuse protection. Everything is served over HTTPS. We take security seriously.

Children

This site is for business use. We don't knowingly collect information from anyone under 13.

Changes to this policy

We'll update this page with a new "last updated" date if the policy materially changes. The version on rrflows.com is always the current one. We don't email or otherwise notify you about updates because we don't have a list to email.
